The business purpose: Capture a clear and accurate message, extract that message to structured data for downstream processing.
Context: A voice agent has audio and transcript. Data is extracted from the transcript, not the audio. If the transcript is inaccurate, is 'seemingly accurate', this could cause a fail.
Solution: Ensure that the mission critical components (capture message) have fine-grained prompt and extraction processes.
A voice assistant can sound competent and still save the wrong message for your business.
We saw this while testing Mira, a message-taking assistant. The caller asked the team to discuss an idea. Listening to the recording confirmed that the word discuss was audible. The stored transcript left it out.
That one missing verb mattered. It carried the action the caller wanted the team to take.
The assistant continued politely. The extraction step, which turns conversation text into a saved business record, ran successfully. The result passed its structural checks and was marked complete, with no uncertainty.
Yet the saved request was incomplete. The assistant had failed its message-capture job before any delivery process began.
A completed call and valid data were giving us a misleading picture of success.
Why the original confirmation was too weak.
Mira had paraphrased the request and asked whether the caller wanted to add anything. The caller said there was nothing more to add.
Caller: 'Yes. I'm Alex. Uh, please ask the team to my idea.'
Mira: 'Thank you, Alex. I have your request for the team to review your idea. Is there anything specific you would like me to add?'
Caller: 'No. That's it.
Extracted date: "message": "please ask the team to my idea.".
Mira's response does not establish that the summary was accurate. It answers a different question.
We changed two instructions together
First, we tightened the conversation prompt. Mira must form a short message, read it back and directly ask whether it is correct. She must wait for the answer. If the meaning is unclear, she must ask for clarification. A later correction or addition requires another confirmation of the revised message.
Second, we changed the extraction instructions. The saved message should use the latest summary explicitly accepted by the caller. Its supporting evidence must include both the assistant's summary and the caller's acceptance.
Silence, agreement to a phone number, nothing more to add and a polite closing do not count as message confirmation.
What the next call proved
The caller transcript again omitted discuss. This time, Mira included the action in her summary and asked for direct confirmation. The caller accepted it.
Caller: 'Yes. I'm Alex. Uh, please ask the team to my idea.'
Mira: 'Thank you Alex. Just to confirm, would like the team to discuss your idea. Is that correct?'
Caller: 'Yes, correct.'
Extracted data: "message": "Please ask the team to discuss your idea."
Extraction retained discuss and saved both sides of the confirmation as evidence.
The transcription problem had not disappeared. The conversation and extraction instructions now worked together to preserve meaning through an explicitly accepted summary.
What to ask your voice-agent builder.
Ask them to show the recording, the transcript, the saved result and the evidence supporting that result. Then ask whether the receiving team can understand the intended action without listening to the call themselves.
That is observability in practical terms: being able to inspect what happened at each stage and see where meaning changed.
Voice combines transcription, conversation decisions, spoken responses and extraction. Each part can appear to work while the overall business task fails. Competent building and operation require checking those parts together, against the outcome the business actually needs.
